Welcome to VoiceFlow ("we", "our", "us"). We operate the VoiceFlow voice-to-text platform accessible at voiceflow.example.com (the "Service"). We are committed to protecting your personal information and your right to privacy.

This Privacy Policy explains what information we collect, how we use it, and what rights you have in relation to it. Please read it carefully. If you disagree with any term, please discontinue use of our Service.

2. Information We Collect

VoiceFlow is designed with a privacy-first approach. We collect the minimum information necessary to provide and improve the Service:

  • Usage Data: We may collect anonymised information about how you interact with the Service — such as pages visited, features used, and session duration — to improve user experience. This data does not identify you personally.
  • Contact Form Data: When you contact us via the Contact page, we collect your name, email address, and the content of your message solely to respond to your enquiry.
  • Newsletter Email: If you subscribe to our newsletter, we store your email address for that purpose only. You can unsubscribe at any time.
  • Account Data (Pro users): If you create a Pro account, we collect your email address, billing information (processed by our payment provider — not stored on our servers), and account preferences.

3. Audio & Transcription Processing

VoiceFlow uses the Web Speech API built into your browser (available in Chrome and Edge) to convert speech to text.

  • Your audio is processed by the browser's speech recognition engine, which is powered by Google's servers as part of the Web Speech API implementation.
  • VoiceFlow itself does not receive, store, or transmit your audio recordings.
  • The resulting transcript text is displayed in your browser and is never uploaded to our servers in the free tier.

Recommendation: For highly sensitive content (medical, legal, or confidential business information), we recommend using an offline transcription tool that processes audio entirely on your local device.

4. Cookies & Tracking

VoiceFlow uses a minimal cookie policy:

  • Essential Cookies: Required for basic site functionality (e.g., session management for logged-in Pro users). These cannot be disabled.
  • Analytics Cookies: We use anonymised analytics (e.g., page view counts) to understand traffic patterns. No personal data is associated with these cookies.
  • No Advertising Cookies: We do not use any advertising, retargeting, or behavioural tracking cookies.

You can manage cookies through your browser settings. Note that disabling essential cookies may affect site functionality.

5. Third-Party Services

VoiceFlow uses the following third-party services, each governed by their own privacy policies:

  • Google Web Speech API — Speech recognition processing (see above)
  • Bootstrap CDN (jsDelivr) — Serving CSS and JS assets
  • Google Fonts — Serving the Inter typeface
  • Font Awesome (Cloudflare CDN) — Serving icon assets

We do not sell, trade, or transfer your personal information to any third parties for marketing or commercial purposes.

6. Data Retention

  • Contact form submissions are retained for up to 12 months to allow follow-up on your enquiry, then deleted.
  • Newsletter emails are retained until you unsubscribe.
  • Pro account data is retained while your account is active and for 30 days after account deletion (to allow recovery), then permanently erased.
  • Transcripts (Free tier) are not stored by VoiceFlow at all — they exist only in your browser session.

7. Your Rights

Depending on your location, you may have the following rights under applicable data protection law (including GDPR, Indian DPDP Act 2023):

  • Right to Access: Request a copy of the personal data we hold about you.
  • Right to Rectification: Correct inaccurate or incomplete data.
  • Right to Erasure ("Right to be Forgotten"): Request deletion of your personal data.
  • Right to Object: Object to processing of your personal data.
  • Right to Data Portability: Receive your data in a structured, machine-readable format.
  • Right to Withdraw Consent: Withdraw consent at any time where processing is based on consent.

8. Children's Privacy

VoiceFlow is not directed to children under the age of 13 (or 16 in certain jurisdictions). We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us immediately and we will delete it as quickly as possible.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the "Last updated" date above. Continued use of the Service after any changes constitutes acceptance of the new policy.

For significant changes, we may also send an email notification to registered Pro users.
